Club Meeting Minutes: December 10, 2017

The meeting was called to order by Tinker Moats.

Copies of the minutes were handed out for members to read. Cynthia Shaver highlighted the minutes with a correction noted that the Clover Hill 4H Club instead of the Clover Hill Ruritan Club will be asked to provide food for the Summer Show. A motion was made to accept the minutes with the correction. It was seconded and approved.

The Treasurer’s Report was given by Jennifer Puffenbarger. There is $6426.87 in the checking account. The Pulling Team shirts and items for the club to sell at sanctioned events have been ordered. The total for both is about $400.00. A motion was made to accept the report. It was seconded and approved.

Becky Seal gave the report for Relay for Life. 70 pumpkin rolls were sold. It was noted that a check for the percentage of the Auction proceeds would be given to Relay for Life. Relay for Life will be the 1st Friday in May at the Rockingham County Fairgrounds.

Old Business: Tinker met with Pam Edwards, General Manager of the Rockingham County Fair. The cost of the show this year is in line with the costs of last year, $1706.99. This includes the tables and a limited number of chairs.

Auction Committee: Winona would like for someone to volunteer to take over as Chairman of the Auction Committee. She feels that maybe someone else might come up with new ideas for the auction. Her time is limited as to the amount of time she can spend trying to find new donors or contacting former donors. She has done a wonderful job with the auction. As club members, please think about helping with this.

David Seal is still checking into the option of a new website.

Tinker thanked everyone that helped with The Mill Day at the McCormick Farm.

New Business: The Board met concerning our Chapter hosting the 2019 Winter Convention. The IHC National said they would loan us $3000.00 to help get started. The Board felt that the club should be able to do this Several committees would need to be formed. At the Board Meeting Tinker asked if anyone would be able to attend the 2018 Winter Convention in Branson, Missouri to see how the Convention was run. Bill and Cynthia Shaver said they could go and would drive. Tinker said he and Jennifer would go. Tinker asked Dixie Teter if she could check into the cost of a tour bus to the McCormick Farm for the Convention. She said she would do this and report back. After more discussion a motion was made to have the Winter Convention. Before it was seconded some members said they would still like to have more information on holding the convention. The motion was withdrawn. At that time a motion was made to gather more information and report back at a business meeting on January 7, 2018, at 3pm at Keys Worship Center. Also the Board would meet at Bob Menefee’s at 6:30 P.M.. The motion was seconded and approved.

A motion was made to give Cross Keys Worship Center $200.00 for the use of their building for our meetings and fundraisers. It was seconded and approved.

As there was no other business a motion was made to adjourn. It was seconded and approved
